Operations Coordinator Position

Role: Operations Coordinator

Type: 6 month fixed term contract

Remuneration: R23 to 28k CTC negotiable and commensurate with experience

Start Date: As soon as possible March 2018


Impact Hub Johannesburg is a member-based incubator, co-working space and event venue

that empowers impact-driven individuals! The community comprises entrepreneurs,

freelancers, techies, consultants, investors, creatives and more. We offer our members a

unique ecosystem of programmes, resources and collaboration opportunities to grow their

businesses and impact ventures. Impact Hub is a rapidly expanding, diverse global network

of over 13,000+ members in 85+ locations around the world, and 8 African locations.

As Impact Hub Johannesburg continues to grow its operations, there is a pressing need for

operational and administrative oversight as well as coordination, and office management.


The Operations Coordinator is a critical member of the operational team and coordinates the

operations of Impact Hub Joburg, while managing a more junior team of two support staff.

The Operations Coordinator also provides personalized assistant and organized

administrative support as needed to the CEO and senior managers in a professional and

timely manner. He/she provides high quality clerical assistance, whilst ensuring that the

office is well run and maintained administratively.


Operations and Coordination (45%)

● Ensure smooth running of the operations and administration of Impact Hub Joburg

● Facilitate internal communication (e.g. distribute information and schedule


● Support senior managers and executives with daily clerical tasks

● Manage the junior support staff (one cleaner and one host/receptionist)

● Plan meetings and take detailed minutes

● Report directly to the CEO/COO and support them as needed

● Support Events Manager in delivering on in-house and client-specific events

● Support Community Manager in delivering on community-building initiatives and


● Support Programmes Manager in delivering on entrepreneurial and stakeholder

engagement programmes

● Create spreadsheets and presentations and manage simple budgets

● Provide statistical and budget reports

● Schedule appointments and update calendars accordingly

● Make travel arrangements and reservations for senior managers

Office Management (20%)

● Manage the IT services and other service providers in the space

● Keep the inventory and stock up to date

● Work with the Accounts Manager to order new stock as needed

● Suggest more efficient ways to run the office and troubleshoot malfunctions

● Develop and maintain a filing system (mostly online on Google docs)

● Develop, implement and improve office policies and procedures

Community Host (30%)

● Welcome and attend to visitors to Impact Hub Joburg

● Provide visitors with relevant information or connect visitors to appropriate staff


● Conduct tours in the Impact Hub space

● Keep a keen ear out for feedback from members and partners in the space with a

view to connecting them to opportunities and each other as well as finding ways to

improve our service offering

● Act as a host and coordinator during programs and events

Other Duties (10%)

● Provide administrative services to senior managers as requested

● Assist in Word-processing duties of Impact Hub Johannesburg

● Perform other administration and coordination related duties as required


We are looking for an individual who is comfortable working closely with senior managers on

a wide variety of matter. The candidate must be flexible and organized to meet the growing

demands of the organisation.

Apart from a cheerful disposition and impeccable organisation skills, the candidate must


● An undergraduate degree, with a preference for commercial or developmental studies

● 3-5 years work experience as an Executive Administrative Assistant, Senior Executive

Assistant, Office Manager or in other administrative or operational position (preferably

in the impact space)

● Full knowledge of office management systems and procedures

● Basic bookkeeping and math skills

● Self starter and ability to work independently with minimal supervision and ability to

prioritise and deal with challenges in an urgent and timely manner

● Thrives in environment requiring adaptability and flexibility

● Ability to coach, manage and motivate the junior members who will report to this role

● Client / customer centric

● Proficiency in English; second language a plus

● Exemplary planning and time management skills

● Ability to stay calm and on-task in high-stress situations

● Comfortable with office technology, and computer software including MS Office

● Ability to multitask and prioritize daily workload

● Strong communication skills (written, verbal and email)

● Experience exercising discretion and confidentiality with sensitive company


● A friendly manner and be able to facilitate conversations with ease
